Job Summary: The Senior Executive Admin Assistant will provide administrative support the office of the CEO, including the Chief of Staff and Sr. Executive Assistant, as well as the Senior Vice President of Investor Relations. The successful individual in this role will be dynamic, performance-driven, well-organized, and flexible, thriving in a fast-paced environment. This individual must be a superb communicator, able to multi-task, work independently, and make appropriate decisions on behalf of executives, as well as work professionally with various team members and stakeholders internally and externally.

Responsibilities:

  • Manage complex calendar requirements, including timely scheduling to ensure meetings are prioritized and occur with appropriate timelines.

  • Communicate on behalf of executives internally and externally.

  • Prioritize tasks and take timely action based on departmental objectives and business needs.

  • Adhere to T&E policies, book travel, file expense reports, and reconcile expenses.

  • Follow purchasing policies, process invoices, and track orders.

  • Facilitate projects, prioritize demands, and adjust based on executive priorities.

  • Prepare executives for meetings with materials and agendas.

  • Coordinate team meetings and internal communications (e.g., distribute information, schedule presentations, provide PowerPoint presentations and agenda).

  • Manage internal and external high-profile events.

  • Print and prepare executive meeting materials, including professional binders.

Capabilities & Skills:

  • Strong interpersonal skills and diplomacy; anticipates needs and eliminates friction for the Executive in performing their job function.

  • Demonstrates complete integrity and ethics; handles sensitive and confidential information with professional discretion.

  • Works with minimal supervision, strong initiative, good judgment, and detail-oriented follow-up.

  • Builds relationships and interacts professionally with all organizational levels.

  • Excellent written and oral communicator; proficient in spelling, grammar, and punctuation. Summarizes information quickly and tracks communication across multiple channels (meetings, video calls, IM, texts, emails).

  • Prioritizes and works independently and collaboratively with administrative assistants/external partners across different time zones and heavy workloads.

  • Tech-savvy with proficiency in Microsoft Suite (Outlook, Word, Excel, PowerPoint); knowledge of Concur Travel and Expense, SAP, SharePoint, and Workday preferred.

  • Positive work attitude, sense of humor, and high productivity.

  • Strong attention to detail in follow-through, proactive scheduling, and preparation of executive binders.

Requirements:

  • High School or GED degree required.

  • 5+ years of previous administrative experience supporting senior executives in a mid-size or large global company.

The potential base pay range for this role, when annualized, is $71,500.00 - $119,100.00. The actual base pay offered may vary based on a number of factors including job-related qualifications such as knowledge, skills, education, and experience; location; and/or schedule (full or part-time). Dependent on the position offered, incentive plans, bonuses, and/or other forms of compensation may be offered, in addition to a range of health and welfare and/or other benefits.
