Job Overview

IQVIA Romania Commercial team is looking for a detail-oriented and organized individual to join our department as an Administrative Assitsant. This role requires strong communication skills and the ability to multitask in a dynamic environment. This is a hybrid role and will require 3 days per week in the office. The role is 12 months contract with a possibility of extension.

Roles and Responsibilities:

  • Managing Communication: Handling phone calls, emails, and other correspondence, ensuring timely and accurate communication between the commercial department and clients or other departments.
  • Scheduling and Coordination: Organizing and scheduling meetings, appointments, and travel arrangements for General Manager and department staff.
  • Document Management: Maintaining and organizing both physical and digital filing systems, ensuring all documents are easily accessible and up-to-date.
  • Data Entry and Reporting: Inputting data into company systems, preparing reports, and assisting with data validation to support internal flow.
  • Customer Support: Assisting customers with inquiries, providing information mostly regarding invoicing and services and directing them to the appropriate person
  • Office Supplies Management: Ordering and maintaining inventory of office supplies to ensure the department runs smoothly
  • Expense Management: Preparing and processing expense reports for General Manager and commercial department
  • Event Planning: Assisting in the planning and execution of department events, such as client meetings, conferences, and other activities

Requirements and skills:

  • Strong organizational abilities
  • Good English and excellent communication skills
  • Proficiency in multitasking
  • Attention to detail
  • Ability to work effectively in a fast-paced environment
  • Knowledge of office software and administrative procedures, as well as the ability to prioritize tasks and manage time efficiently
